  • Estimated Time:
    Estimated time is days that had to be estimated because the timecard was due to Payroll before those days are worked. Estimated time takes the time that is on the schedule and what is on the schedule determines what is turned in for that employee for the estimated day.

    During estimated time, overtime is paid at a straight time pay. After the estimated days are worked, the supervisor will approve the estimated days so that a reconciliation can be run within Kronos to calculate what should be paid straight time and what should be paid overtime. Any additional pay due to the employee following reconciliation will be paid on the subsequent paycheck.
  • Funeral Leave:
    The Department Head can approve emergency leave for death of a family member. The leave does not have to be taken consecutively; however, granted hours must be taken within 6 months from the date of the family member’s death. This emergency leave is only granted for the death of an immediate family member (employee’s spouse, employee’s or spouse’s child, stepchild, parent, stepparent, brother, stepbrother, sister, stepsister, grandparent, step grandparent, great grandparent, step great grandparent, grandchild, step grandchild, great grandchild or step great grandchild. Relationships that exist due to marriage will terminate upon death or divorce. For example, emergency leave for an ex-spouse’s death would not apply, nor would it apply for the death of an ex-spouse’s family member.
  • Jury Duty:
    The Department Head can approve time for jury duty or serving as a witness/responding to a subpoena. When the employee returns to work, they should submit a note from the court clerk. If dismissed before the end of the day, the employee is expected to report to work later that day unless dismissal is at the end of the workday.

    If the employee is serving as a witness/responding to a subpoena, they are eligible for the jury duty time for the time they serve as a witness to provide testimony. However, employees who are party to a lawsuit (plaintiff or defendant) must use their own personal time to testify in legal proceedings.
  • Blood Donor Leave:
    An employee can use leave with pay (LWP) for organ, bone marrow or blood donors. The employee must consult with his/her supervisor before taking time off to donate blood and must provide proof of donation upon their return to the UES HR group. HOWEVER, an employee cannot use this time to donate plasma. They would be required to use their personal leave to donate plasma.
  • Voting Leave:
    Employees may be allowed sufficient time off to vote in national, state and local elections. An employee could be granted permission to arrive to work later than their normal schedule time, leave work early to allow sufficient time to vote, or take a longer lunch. However, this time is only what is sufficient time, not a full or half day. And this leave is only in instances where the employee could not make up the time that they missed.
  • Sick Leave:
    An employee may use up to 8 hours of eligible sick leave per fiscal year to attend an educational activity relating to their children in pre-kindergarten through 12th grade. This could include, registration, parent-teacher conference, a field trip, a classroom program, athletic, music or theater program, or academic competition. Employees are limited to a total of 8 hours per fiscal year, regardless of the number of school-aged children in their household.

FMLA and Worker's Compensation

  • Doctors Note
    A doctor’s note is required when you have been absent from work for four or more continuous days. Do not give any medical documentation to your supervisor.The doctor’s note needs to be given to HR upon your return to work.
  • First Report of Injury – must be submitted within 24 hours of injury

    First Report of Injury (PDF)

    This form must be completed once that we, as an employer, become aware of any workplace 
    injury. This must be done, regardless of whether the injury is considered serious or if the
    accident occurred within the course and scope of duties. Please note the following additional
    items regarding this form:

    The first report must be completed by the supervisor or WCI designee. The form may not 
    be completed by the employee.

    All information must be completed on the form. Please use the instructions above to ensure the
    information is complete and accurate. Incomplete forms will delay the processing of a WCI 
    claim, which in turn may become a violation of state law.

    A separate handout must be provided to each employee who suffers a workplace injury: 
    "Notice of Injured Employee Rights and Responsibilities" (PDF).

    Witness Statement (PDF) This form should be filled out by a willing witness who personally
    witnessed a work-related injury. It may be submitted with the first report, if possible, or in a
    timely manner after the first report has been submitted.

    The Family and Medical Leave Act (FMLA) is a benefit that allows qualified employees to have up
    to 12 weeks of leave per fiscal year. The law allows eligible employees to take job-protected
    leave for the birth or adoption of a child, for the care of a child, spouse or parent with a serious
    health condition, for the employee’s own serious health condition, or for the care of a covered
    military service member.

    Eligible employees are entitled to utilize a full allotment of 12 weeks of FMLA benefits for any
    FMLA-related condition, regardless of whether his/her spouse is also employed by the
    University.

    Employees must qualify for leave under the FMLA before such leave can be granted; two criteria
    must be met:

    Must have a total of at least 12 months of state service (employment periods preceding a break
    in service of more than seven [7] years are not required to be counted); and

    Must have physically worked 1,250 hours with the state within the 12 months prior to the need
    for FMLA leave

    NOTE: Student employees, wage employees, and faculty are eligible for FMLA leave if the above
    requirements are met.

  • Serious Health Condition Defined

    An illness, injury, impairment or physical/mental condition that involves:

    An overnight stay in a hospital, hospice or residential medical care facility, including any period
    of incapacity or subsequent treatment in connection with the inpatient care, or

    Continuing treatment by a health care provider, including:

    Incapacity of more than three consecutive full calendar days and any subsequent treatment or
    period of incapacity relating to the same condition that involves treatment two or more times 
    by a health care provider.

    Treatment that results in a regimen of treatment under the provider's supervision. Examples of
    a continuing regimen of treatment include physical therapy relative to the condition and
    prescribed medication.

    On October 21, 2022, UES rolled out a new safety tool called “Stop & Think” to all employees and contractors to stem the tide of injuries currently occurring in UES. An employee is seriously injured every 92 days and that is simply unacceptable because safety is a core value, and zero injuries are our goal. The focus of “Stop & Think,” is to incorporate safe thinking (12 trigger questions) in planning a job before it starts.
